For a bank, public body or law firm, moving an archive is not simply about getting boxes to a new address. We preserve file order, code boxes for their destination and record the handover.

What archive and records moving includes

Before the move, we agree the codes to use and the shelving plan at the new address. Labels can include cabinet numbers, floor details or department names. If you have a specific classification system, we do not create a new one; we carry its existing identifiers into the moving plan.
How to plan an archive move
We start by discussing both addresses, the archive volume, floors and lift access, access hours, and when the records need to be available again. A few shelves need a different plan from records across several departments; decide which box group must be unpacked first.
If some records need to remain accessible during the move, we can divide the work into sections. Less frequently used records may go first, followed by files used in day-to-day work. What happens on moving day
We check codes before closing boxes, load them with labels visible and carry the archive in a closed vehicle. At the new address, we place boxes according to the shelf or department order on their labels. If the agreed handover requires a signature, we show the box groups to the authorised recipient and record delivery together.
Classifying documents and deciding which staff may access them remain your organisation's responsibility. During the move, we keep archive boxes separate from other belongings and follow the agreed delivery process. Please tell us during planning about any confidentiality expectations and who is authorised to receive the records.
What affects the price
The price depends on the number of boxes and cabinets, floors and goods-lift access at both addresses, distance, moving hours, and the scope of boxing and placement on shelves. Moving departments at different times or requesting signed handovers section by section can also affect the work plan. Preparing before the move
- List the current shelf or cabinet codes, department names and their equivalents at the new address
- Identify records that need to remain accessible and the box group to unpack first
- Agree the code format for boxes with the moving team in advance
- Ask both building managers about loading areas, lift use and access times
- Confirm who will be present to receive the records and how the handover will be signed

Yes. We transfer the source shelf or department details to the box codes, then place the boxes in that order at the new address. Please share the existing shelf plan or a clear code list before the move.

Document classification stays with your organisation. We can box, code and move files and folders in the agreed scope while preserving their arrangement. Tell us during planning if you need a particular sorting or numbering method followed.
